Terms of Service for JobKoyo, PeopleKoyo and KoyoHub

These Terms govern access to and use of JobKoyo’s recruitment, HR management and workplace communication services. By using the platform, users agree to use it lawfully, professionally and only for legitimate recruitment, employment, HR or workplace purposes.

JobKoyo

Recruitment platform for job posting, applications, candidate tracking, documents, interviews and hiring workflows.

PeopleKoyo

HR management layer for employee profiles, reporting lines, attendance, leave, expenses, approvals and HR operations.

KoyoHub

Workplace communication hub for announcements, employee updates, comments, reactions, events, birthdays and anniversaries.

1. Acceptance of these Terms

These Terms of Service apply to all users of JobKoyo, PeopleKoyo and KoyoHub, including jobseekers, employers, recruiters, company administrators, HR users, managers, finance users, department reviewers, employees and other authorized workspace users.

By creating an account, accessing the platform, posting a job, applying for a job, uploading documents, using HR features or using workplace communication features, you agree to these Terms. If you do not agree, you must not use the platform.

2. JobKoyo’s role

JobKoyo provides technology services for recruitment, HR management and workplace communication. JobKoyo is not the employer of jobseekers, candidates or employees using the platform, unless JobKoyo separately hires someone directly.

JobKoyo does not guarantee that a jobseeker will receive an interview, job offer or employment. JobKoyo does not guarantee that an employer will find, interview or hire a suitable candidate.

Employers are responsible for their job posts, recruitment decisions, interview processes, hiring decisions, employment offers, employment contracts, salary discussions, labour law compliance and workplace decisions.

3. Accounts and security

Users must provide accurate account information and keep their login details secure. Users are responsible for activity that happens through their account, unless the activity was caused by a platform security failure within JobKoyo’s reasonable control.

Users must not share login credentials, impersonate another person, create misleading accounts, access another workspace without permission or attempt to bypass authentication, access controls or security systems.

JobKoyo may suspend or restrict accounts where we reasonably believe there is unauthorized access, misuse, fraud, abuse, security risk, legal risk or breach of these Terms.

4. Jobseeker responsibilities

Jobseekers are responsible for the accuracy of their profile, CV, documents, experience, education, skills, application answers and other information submitted through JobKoyo.

Jobseekers must not:

  • Submit false, misleading or fraudulent information.
  • Upload documents they are not allowed to use.
  • Apply using another person’s identity.
  • Misrepresent qualifications, licences, experience or work rights.
  • Use JobKoyo to harass, spam or pressure employers.
  • Attempt to contact employers outside permitted platform rules.

JobKoyo may remove or restrict jobseeker accounts that appear fraudulent, abusive, misleading, unlawful or harmful to the platform or other users.

5. Employer responsibilities

Employers are responsible for ensuring that their use of JobKoyo, PeopleKoyo and KoyoHub complies with applicable employment, labour, recruitment, immigration, anti-discrimination, privacy, data protection, tax, payroll and workplace laws.

Employers must not post jobs or use the platform for:

  • Fake, misleading or non-existent job opportunities.
  • Unlawful, discriminatory or exploitative hiring practices.
  • Jobs requiring illegal payments from candidates.
  • Scams, pyramid schemes or deceptive business opportunities.
  • Collection of unnecessary or excessive candidate information.
  • Any activity that violates applicable law or user safety.

Employers are responsible for managing workspace access and ensuring that only authorized HR users, recruiters, managers, finance users, department reviewers or administrators can access candidate, employee or company information.

6. Hiring decisions and employment matters

JobKoyo may provide candidate tracking, review notes, document workflows, interview tools, hiring workflow support and matching signals. These tools do not replace employer judgment.

Employers remain fully responsible for final hiring decisions, rejection decisions, interview conduct, offer terms, background checks, reference checks, document verification, employment contracts and compliance with all applicable employment laws.

JobKoyo is not responsible for disputes between employers and jobseekers, including disputes about interviews, job offers, salary, working conditions, employment status, termination, workplace conduct or employer promises.

7. CVs, documents and uploaded files

Users may upload CVs, certificates, identity documents, passports, visas, driving licences, employment records, receipts or other files for recruitment, HR, expense, verification or approval workflows.

Users must only upload documents they are legally allowed to provide. Employers must only request, access and use documents for legitimate recruitment, HR, compliance, verification, expense or business purposes.

JobKoyo may restrict file types, file sizes, access methods, storage limits, download permissions and retention settings to protect the platform and users.

8. PeopleKoyo HRMS terms

PeopleKoyo may support employee profiles, reporting lines, attendance, leave requests, expense claims, receipts, approvals, HR notes, internal workflows and related company operations.

Employers are responsible for ensuring that PeopleKoyo settings, approval workflows, employee records, reporting lines, attendance rules, leave rules, expense rules and company policies are correct and lawful for their organization.

PeopleKoyo is not a substitute for professional HR, payroll, tax, labour law, immigration or accounting advice.

9. KoyoHub workplace communication terms

KoyoHub is intended for professional internal workplace communication, including HR announcements, company updates, employee posts, comments, reactions, events, birthdays and anniversaries.

KoyoHub must not be used for:

  • Harassment, threats, bullying, abuse or personal attacks.
  • Political campaigning or religious preaching in company spaces.
  • Hate, discrimination or offensive content.
  • Confidential information shared without permission.
  • Illegal, unsafe, misleading or harmful content.
  • Spam, advertising or unrelated promotional content.

Employers and workspace administrators are responsible for moderating company content, reviewing reports and removing content that violates company policy, these Terms or applicable law.

10. Prohibited platform use

Users must not use JobKoyo, PeopleKoyo or KoyoHub to:

  • Break any applicable law or regulation.
  • Upload malware, harmful code or unsafe files.
  • Attempt to hack, scrape, overload or disrupt the platform.
  • Reverse engineer or copy protected platform functionality.
  • Access data, accounts or workspaces without permission.
  • Sell, resell or misuse platform access without written approval.
  • Collect user data for spam, scams or unauthorized marketing.
  • Interfere with platform security, storage, email or authentication systems.

11. Subscriptions, payments and plan limits

Some JobKoyo, PeopleKoyo or KoyoHub features may require a paid subscription, usage plan, add-on or separate written agreement. Plan limits may include jobs, applications, employer users, employees, storage, features, retention period or workspace access.

If payment is required, the customer is responsible for paying all applicable subscription fees, add-on fees, taxes and charges according to the selected plan or written agreement.

JobKoyo may suspend, downgrade or restrict access where payment is overdue, usage exceeds plan limits, payment fails, or the customer breaches these Terms.

12. Intellectual property and user content

JobKoyo owns or licenses the platform design, software, workflows, branding, logos, interfaces, code, product names and related intellectual property. Users must not copy, reproduce, resell or misuse JobKoyo intellectual property without written permission.

Users retain ownership of content they submit, such as job posts, CVs, documents, application answers, company content, HR records, posts and comments. By submitting content, users give JobKoyo the limited right to host, process, display, transmit and use that content only as needed to provide and operate the platform.

13. Data, privacy and confidentiality

Use of the platform is also governed by the JobKoyo Privacy Policy. Users and employers must handle personal information, candidate information, employee information, documents and confidential company information responsibly and lawfully.

Employers are responsible for determining what data they upload, request, store, review, share or delete inside their workspace. Employers are also responsible for responding to candidate, employee or workspace data requests where required by applicable law or company policy.

Users must not disclose confidential candidate, employee, employer or workspace information unless they are authorized to do so.

14. Service availability and changes

JobKoyo aims to provide a reliable platform, but we do not guarantee that the service will always be available, uninterrupted, error-free or free from delays.

We may update, improve, suspend, remove or change features, layouts, workflows, limits, integrations or services from time to time. Some features may be released as beta, trial, preview or limited-availability features.

15. Third-party services

JobKoyo may use third-party services for hosting, database, storage, authentication, email delivery, analytics, payments, security or other platform operations.

Third-party services may have their own terms, policies, availability limits or technical restrictions. JobKoyo is not responsible for failures caused by third-party systems outside JobKoyo’s reasonable control.

16. Disclaimers and limitation of liability

The platform is provided on an “as available” basis. To the maximum extent permitted by law, JobKoyo disclaims warranties that the platform will meet every user requirement, produce a specific hiring outcome, prevent every error, or operate without interruption.

To the maximum extent permitted by law, JobKoyo will not be liable for indirect, incidental, special, consequential or punitive damages, including loss of profit, loss of business, loss of data, hiring disputes, employment disputes, reputational damage or business interruption.

Where liability cannot be excluded, JobKoyo’s liability will be limited to the amount paid by the customer for the affected service during the three months before the event giving rise to the claim, unless applicable law requires a different limit.

17. Indemnity

Employers, customers and users agree to defend and hold JobKoyo harmless from claims, losses, damages, penalties, costs and expenses arising from their misuse of the platform, unlawful job posts, unlawful hiring practices, misleading information, uploaded content, workplace content, breach of these Terms, or violation of applicable law.

18. Suspension and termination

JobKoyo may suspend, restrict or terminate access where a user, employer or workspace breaches these Terms, creates security risk, creates legal risk, fails to pay required fees, misuses the platform or harms other users.

Users may stop using the platform at any time. Account deletion, data deletion, record retention and backup removal may be subject to legal, security, audit, dispute, billing, operational or employer-controlled retention requirements.

19. Changes to these Terms

JobKoyo may update these Terms from time to time. The updated version will be posted on this page with an updated date. Continued use of JobKoyo, PeopleKoyo or KoyoHub after updated Terms are posted means the user accepts the updated Terms to the extent permitted by applicable law.

20. Governing law and disputes

Unless a separate written agreement states otherwise, these Terms are governed by the laws of New Zealand.

Users agree that disputes relating to these Terms or the use of JobKoyo, PeopleKoyo or KoyoHub may be handled by the courts of New Zealand, subject to any mandatory legal rights that cannot be excluded under applicable law.

Nothing in these Terms limits any rights or protections that users may have under mandatory privacy, consumer protection, employment, labour or data protection laws that apply in their country.
